Optimising use of system 21 in the food industry
Rowan Foods employed Integrated Management Solutions (Global) Ltd to review their use of the System21 financials and identify areas in which they could get immediate rewards from low cost improvements to their system.
Part of the Oscar Mayer Group, Rown Foods are a chilled ready meal manufacturer providing products to four of Britain’s leading supermarket chains and employing over 700 people. Established in 2000, today Rown Foods produces about 1 million ready meals each week from its factory in Wrexham.
Financial efficiency is a key aspect of success in food manufacturing and Rowan Foods were looking to review their use of the System21 financials and to identify areas in which the use of the system could be improved. This included a requirement to review the business processes in key areas and to identify possible weaknesses in financial controls. The project was on very tight deadlines and initial contact with Integrated Management Solutions (Global) Ltd was made at one of the Integrated Management Solutions (Global) Ltd Financial Workshops by Rown Foods financial director.
A review was undertaken by Integrated Management Solutions (Global) Ltd. This involved one to one meetings with the financial director and with each of the key users in each of the ledgers. These interviews provided useful insights into how the systems were used, the ways in which they had developed and how they linked with other parts of the system. Each ledger (Purchase, Cash Book, Sales and General) was scrutinised. Due to the tight deadline of the project this information formed the key data for the project and the issues reported were not able to be independently verified by Integrated Management Solutions (Global) Ltd. A report was created detailing proposals for each of the four ledgers documenting how the system was being used and the current processes along with proposal for improvements and their possible benefits. Major system improvements were identified that could have significant benefits to the business.
Many of the proposed changes were using existing System21 standard functionality, other proposals for improvements involved extensions to functionality already in use. Rown Food were looking for rapid improvements and Integrated Management Solutions (Global) Ltd were able to report that these were no major tasks required and most recommended changes involved changes in set up, system testing and staff training, much of which could be implemented simultaneously meeting Rowan Foods need for a rapid improvement. Following the successful completing of this project Integrated Management Solutions (Global) Ltd continued to work with Rown Food and went on to review similar processes used at two other sites within the group as well as System21 utilisation at Head Office in Wrexham.
